Revenue

More of what you teach, actually paid for.

Most centres do not lose money on the lessons they sell. They lose it on the lessons nobody billed, the cancellations nobody charged, the debit that bounced and the afternoon spent reconciling. XTutio closes each of those gaps, and gives you new things to sell.

01 · Collect what you earn

Every lesson taught is a lesson billed.

Marking the roll is the invoice

When a tutor marks a student present, the lesson is charged to the family at your price, there and then. Un-mark it and the charge comes off. Nobody re-keys a timesheet into a billing tool at the end of the week.

  • Group lessons charged to each family, siblings included
  • Priced from your own price list, never a made-up figure
  • Invoices generated on your schedule, ready to pay online

Late cancellations stop being free

You write the policy: how much notice is free, when a late fee applies, when the full lesson is charged. The family sees the exact figure before they confirm, and reception can record a phone cancellation with the same rules.

  • A late fee is held, and waived if the family attends a makeup
  • A set number of free late cancellations a year, if you want it
  • Your public cancellation policy page is written from the same settings

Overdue invoices chased for you

Every day, invoices past their due date send the parent a reminder in your centre's name. Families on a direct debit plan whose payment bounces are emailed and the charge is tried again over the following days. Nobody on your team has to make the awkward call first.

  • Families pay by direct debit or card through your own merchant account
  • Every dollar on an append-only ledger you can explain a year later
  • Accounts receivable ageing and revenue reports built in

02 · Cash before the lesson

Choose how families pay. Change it when you grow.

Four ways to fund a family's lessons, all on one ledger. Your centre picks one and sets every number in it: notice periods, fees, bonuses, expiry of bonus credit. Families are told before a change takes effect.

Advance
Bill the term or the period before it starts. Lessons draw it down, and a lesson you cancel is credited automatically.
Packages
Sell blocks of lessons. Each child spends their own credits, and unused credits stay refundable, so families buy with confidence.
Wallet
Families top up a balance, with a bonus ladder you set to reward bigger top-ups. The bonus they were quoted is the bonus they get.
Arrears
Teach, then invoice. The simplest start, and you can move to another mode later with notice to families.

03 · New revenue

More to sell to the families you already have.

Upgrades families can add

A tutoring family gets maths and English practice, games and progress included. Exam preparation (HSC, OC, selective, NAPLAN), other subjects, AI study help and languages are upgrades you price yourself and offer to parents. Nothing is ever sold on a child's screen.

Teach beyond your rooms

The online classroom runs lessons in the app with video, sound and a shared whiteboard, so a full campus or a family across town is no longer a lost booking. Home tutoring adds service areas, travel times and safety check-ins for lessons in a family's home.

Fill the hours you already pay for

Room occupancy shows each campus by the hour against its opening hours, with a week heatmap and clashes flagged, so you can see which slots to sell before you pay for more space.

Turn enquiries into enrolments

Enquiries land in the portal with each child's year level, subjects and preferred campus, follow-up sequences send texts and emails on a schedule and stop the moment a family enrols, and referral codes reward the families who send you more.

04 · Lower costs

Fewer hours on admin. More hours teaching.

Payroll from the roll

Pay runs are built from lessons actually taught: the covering tutor paid at their own rates, each lesson paid once, late-cancellation pay where your policy gives it. Push a finished run to Xero as a draft journal.

Tutors write once

The lesson wrap-up drafts the notes, the update for the parent and the homework in one tap. Marking gets a first pass with the evidence quoted, checked by the tutor before anyone sees it.

One platform, not five

Timetable, family records, messaging, mail, billing, payroll, training and safety in one login. Bring your Teachworks data across with a preview-then-import, and stop paying for the tools it replaces.

Onboarding that checks itself

Staff invites, training paths, subject tests for new tutors and working with children checks tracked with expiry, so a new tutor is ready to teach without a week of back-and-forth.

Parents pay your centre, not us.

Your centre is the merchant on every payment, invoices carry your name, and the money settles to your own bank account. XTutio takes a stated fee per payment through Airwallex and never holds your families' money. Already on Pinch or Stripe? Ask us about keeping it.

Bring last term's numbers. We'll show you where the money went.
