01
Before you start
Connect Teachworks first, under Integrations (/admin/integrations). The import reads Teachworks only through your centre's own connection, and does nothing until it is there.
To import families and students you need permission to edit families; to import tutors, permission to edit tutors. Either one imports its half.
02
Preview, then import
Nothing is written until you have seen it. The import plans again from fresh data when you press Import, and refuses if the plan no longer matches what you previewed, so what is written is exactly what was shown.
- Open Bulk import (/admin/import) and choose From Teachworks.
- Press Preview. You see who will be added, who is already here and matched, and who is left out with the reason.
- Check the list. Run the preview again if you change anything in Teachworks.
- Press Import.
03
What comes across
Active Teachworks customers become families, their students become students in those families, and active employees become tutors. A family is matched by its Teachworks customer number, then by the main contact's email; a tutor by their Teachworks number, then by email. Running the import twice creates nothing twice.
Parents and tutors get a sign-in and no email. When they are ready, they use Forgot password on the sign-in page.
Some records are left out with a reason rather than guessed at: an address shared by two people, an address that already signs in at another centre, a surname marked as a duplicate or inactive, or a child already in another family.
04
What does not come across
Lessons and the timetable, invoices, payments, custom fields and inactive records are not imported.
Your lessons follow through the Teachworks sync instead, which mirrors lessons for every tutor linked to a Teachworks number. The import is what makes that link, so once your tutors are in, their lessons start to appear.
