Opening hours and rooms

Set each campus's opening hours on Campuses (/admin/locations), one row per weekday, with Copy Monday to weekdays to save typing. Room occupancy measures booked time against the hours you are open.

Add rooms on Rooms (/admin/rooms). Switch a room to shared when several small lessons can run in it at once; overlapping lessons there are fine as long as the total number of students fits.

02

Drawing a floor plan

Draw each campus on Floor plans (/admin/rooms/floor-plan): rooms on a snapping grid, student and tutor desks inside them, and points of interest such as water, bathrooms, first aid and fire exits, each with instructions and an optional photo.

Once a room has student desks drawn, those desks are its capacity. Everything can also be done from the List tab, without the canvas.

03

Seating that sorts itself

Only lessons at your centre are seated. Each student is placed at the desk they had for the same weekly slot, else their usual desk in that room, else the free desk nearest the tutor. No desk is ever given to two lessons at once.

Staff can move people on the seating sheet, and a move they make is kept. Room occupancy (/admin/rooms/occupancy) shows the real seats on the plan.

04

Wall screens

A wall screen is a link, not a login. Make one on the Wall screens tab of Floor plans; the link is shown once, so open it on the screen straight away. Switching it off stops the screen on its next refresh.

The screen shows tutors' first names and today's lessons in your rooms. You choose how students appear: first name and last initial, first name only, or not at all. Nothing else about a student reaches it.

See it on your own centre.
