01

Inviting someone

Your centre adds its own people. Nobody outside your centre is needed after your first admin.

  1. Open Users + roles (/admin/users) and press Invite staff.
  2. Enter their name and email, choose a role, and choose a campus if they work at one.
  3. Send. They get an email from your centre with a link to set their password.

02

Roles

You can invite a tutor, admin, receptionist, finance, marketing or compliance role. Each role carries its own permissions, and an admin restricted to some campuses only sees and changes people at those campuses.

Someone who signs up on their own arrives as pending, with no access, until an admin gives them a role on their user page. Needs review on Users + roles lists pending sign-ups and tutors still missing a role, a pay rate or a Teachworks link.

03

Two-step sign-in

Super admins, admins and finance staff must use two-step sign-in with an authenticator app. Your centre can require it of all staff on Your centre (/admin/centre).

Anyone who must use it gets a grace period to set it up, which your centre chooses. Each person gets ten single-use recovery codes, and an admin can reset someone else's two-step sign-in from their user page.

Some of the most sensitive actions, such as changing roles or exporting data, ask for two-step sign-in even inside the grace period.

04

Switching a sign-in off

When someone leaves, open their user page and use Access to switch their sign-in off. They are signed out everywhere, and nothing they did is deleted. Your centre always keeps at least one working admin.

See it on your own centre.
