01
Your price list
Every lesson is priced from your centre's own services. Add each service and its per-student price on Services (/admin/services), along with group pricing where you teach groups.
Every way of booking a lesson offers your services as a list, so a lesson always names one of them. If a lesson matches no service, your default lesson rate is used and staff are told; with neither, nothing is charged. A price is never invented.
02
Four ways to bill
On How you bill (/admin/billing-policy) your centre chooses one funding mode and sets every number in it.
- Arrears: lessons are taught, then invoiced.
- Advance: a period is invoiced up front and lessons draw it down.
- Packages: families buy blocks of lesson credits.
- Wallet: families top up a balance that lessons draw from.
03
The GST question
The billing screen asks whether your centre is registered for GST, as a plain Yes or No with nothing chosen for you, and will not save until you answer. A centre that is not registered charges no GST on its invoices.
An invoice is headed Tax invoice only when your centre is registered for GST and has an ABN that passes the ATO check.
04
Changing how you bill
Billing terms are saved as versions with the date they take effect. Nothing is changed in place, so every charge can always be traced to the terms in force when it was made.
A change of funding mode cannot take effect sooner than your own notice period, so families are told before they start paying a different way.
05
A record that cannot be edited
Family money lives in one ledger that is added to and never edited. A correction is a new entry that names what it undoes, and a manual adjustment always records who made it and why.
Unused money and unused pack credits are refundable on request, and the policy screen says so as fixed text.
