In short
Parents want an extra lesson before an exam at the moment they think of it, often at night. Let them book it themselves inside rules the centre sets: which services, how much notice, how far ahead, which tutors and how many a week. Show the price and the cancellation terms before they confirm, and check every rule again at the moment of booking.
At 9:40 pm a parent remembers that their son's maths exam is next Thursday. They email the centre asking for an extra lesson. In the morning reception checks three tutors' calendars, replies with two options, the parent replies at lunch choosing the second one, and by then that time has gone to someone else. Four emails later the lesson is booked, or it is not, and the family wonders why it was so hard.
The parent did not need a conversation. They needed to see the open times and pick one, inside rules the centre is comfortable with.
Why centres hesitate
- A booking at five minutes' notice the tutor never sees.
- A tutor booked for a subject they do not teach.
- A family booking six extra lessons in a week, or none of the right kind.
- Two families grabbing the same slot at the same moment.
- A family surprised by the price or the cancellation terms afterwards.
Each of those is a rule, and rules are what a booking system is good at.
Set the rules once
In XTutio a centre that switches self-booking on sets its rules on one settings page: which services families may book, the minimum notice, how many days ahead, the lesson length and start times, a buffer between a tutor's lessons, whether families see only their usual tutor or any cleared tutor, campus, online or at home, and daily and weekly limits. A trial service can be offered to a family new to the centre. Changing the rules needs two-step sign-in and is recorded.
- Pick a time
Open times that fit every rule, with a free room where one is needed.
- Read the quote
The price and the centre's cancellation terms, before anything is booked.
- Confirm
Every rule is checked again; if someone got there first, the later booking gives way.
- Everyone is told
The tutor and admins in the app, and the parent by email.
Only the times that really work
The open times come from the tutors' real availability, their leave, the centre's closures and the child's own calendar, the same scheduling rules staff book with. A lesson at the centre needs a free room, and a lesson at home runs through the centre's own home visit rules. Tutors are held to the centre's compliance and subject clearance checks at booking, just as when staff book.
The price and the terms come first
Before a parent confirms, the quote shows what the lesson will cost and how it will be charged under the centre's funding mode, alongside the centre's own cancellation bands. Nothing is charged at booking; the lesson is charged like any other when it is taught. Families who know the terms before they book argue about them far less, which is the whole point of a written cancellation and late fee policy.
Parents book, children do not
Only a parent can book. Nothing about booking or prices appears on a child's screen, in keeping with everything else in the parent and student apps. A centre still managing lessons in its old system while it switches over keeps self-booking closed until lessons are managed in XTutio.
Before you switch it on
- Bookable services chosen, with prices on your price list
- Minimum notice set to what your tutors can cope with
- Usual tutor only, or any cleared tutor, decided
- Daily and weekly limits set
- Tutors' availability and leave up to date
- Your cancellation policy saved, so the quote shows it
- Front desk told how to see what families booked
How XTutio helps
Self-booking uses the same timetable, rooms, compliance checks and billing as every lesson staff book, so a family's booking is never second class. See Billing and payroll for how each lesson is charged when it is taught.
Questions centres ask
- Should a tutoring centre let parents book lessons online?
- Yes, for extra lessons and trials, inside clear rules: which services, how much notice, which tutors and how many a week. Regular weekly lessons usually still suit being set up by staff.
- How do you stop two families booking the same time?
- Check the slot again at the moment of booking. In XTutio every rule is re-run when the parent confirms, and if two bookings collide the later one gives way.
- Is a family charged when they book in XTutio?
- No. The quote shows the price and the cancellation terms, and the lesson is charged under the centre's funding mode when it is taught.
