Running the front desk

An owner's week at a glance

How a tutoring centre owner can see what needs a decision, how many families are learning and what is owed, without building a spreadsheet on Monday.

In short

An owner needs three things each week: what needs a decision now, whether families are staying or drifting, and what is owed. A centre overview that ranks every waiting queue, a scorecard that counts active, new and lost families the same way every month, and a short Monday security email give an owner the week in minutes, not a spreadsheet afternoon.

It is Monday morning. The owner of a three-campus centre opens a spreadsheet, exports last week's lessons, cross-checks the invoices, scrolls the inbox for anything urgent and asks each campus manager how things went. By lunchtime they know roughly what happened last week, and they find out a family left only when the family's place is still empty a month later.

None of that work is wrong. It is just the slowest possible way to answer three simple questions: what needs me now, are families staying, and is the money coming in?

What needs a decision now

XTutio's centre overview opens with Needs a decision: every queue the owner is allowed to open, ranked urgent first, then safety, then money, then housekeeping. Each line carries a one-line reason and one action. An expired Working with Children Check, lessons taught with no roll marked, invoices overdue, a placeholder ABN still on file: the top five show first, and the rest wait behind a count rather than a wall of red.

Beside it sit health cards for lessons and attendance with last week's trend, students, families, what invoices still ask for net of credit notes, and how many tutors are cleared to teach. A figure the person has no permission to see is not read at all, and a figure that could not be read is left out rather than shown as zero.

Are families staying?

The question that keeps owners up at night is the one a spreadsheet answers worst. The scorecard counts it the same way every month. A family is active while its latest lesson is fewer than 56 open days behind; days the whole centre was closed do not count, so a long holiday does not make every family look lost. A family is lost on the day it reaches that gap with nothing booked ahead, and new on its first lesson. Each tile says how it is counted, compares this month so far with last month, and links to the report behind it.

  • Active families, new families and families lost, month to date.
  • Family retention over twelve months.
  • Revenue and revenue per family per month, from the centre's own invoices in XTutio.
  • Lifetime value per family, once there is enough history to say it honestly.

The scorecard is for owners, admins with reports access and the finance role, never tutors. While a centre still bills through another system, every money tile says when charging in XTutio starts rather than showing a misleading zero.

An owner's week
  1. Monday

The security email arrives; the overview shows what waited over the weekend.

  2. Tuesday

Clear the urgent and safety queues first.

  3. Wednesday

Read the scorecard: active, new and lost families.

  4. Thursday

Call the families who look like drifting.

  5. Friday

Check overdue invoices and next week's tutors.

A security email on Monday

Each Monday, on the centre's own calendar, the owner and admins get a short weekly security email, sent whether the week was quiet or not, so silence means nothing happened rather than nothing was checked. Risky actions such as a change to someone's admin access or a bulk export are emailed at once, and other sensitive changes in a daily email only on days there is something to report. Security and data sets out how records are kept.

Everyone else's day

An owner's week goes better when everyone else's day does. Each staff member opens Today: their lessons, rolls to mark, the lesson on now or next, and what waits on them. Quick actions are offered only where the person can open the page behind them. The timetable itself lives in scheduling, and charging and the pay run in billing and payroll.

A weekly checklist for owners

  • Needs a decision cleared from the top, urgent and safety first
  • Every expired check followed up before the tutor's next lesson
  • Rolls marked for every lesson taught last week
  • Scorecard read: active, new and lost families
  • Families who may be drifting given a call
  • Overdue invoices followed up
  • Monday's security email read

How XTutio helps

The overview, the scorecard and the security emails read the same records your staff work in every day, so there is nothing to export. See revenue for how the portal helps a centre keep and grow its families.

Questions centres ask

What numbers should a tutoring centre owner check each week?
Active, new and lost families, attendance, what is owed and overdue, and anything waiting on a decision such as expired checks or unmarked rolls. Count them the same way every week so the trend means something.
How do I know when a family has left my tutoring centre?
Pick a rule and stick to it. XTutio counts a family as lost when its latest lesson is 56 open days behind with nothing booked ahead, ignoring days the centre was closed.
Can tutors see the centre's scorecard?
No. In XTutio the scorecard is for owners, admins with reports access and the finance role only.

See it on your own centre.
