Working with children checks and tutor compliance

Record and verify each tutor's working with children check, watch expiry dates, and check tutors booked in Teachworks.

Why this exists

A tutor teaching with an expired or unverified working with children check puts children at risk and your centre in breach. These pages keep every check on record, show who has verified it, warn you before it expires and check it at booking. You can show at any time that every tutor is cleared.

Your centre keeps each tutor's working with children check (WWCC), police check and first aid on record. The pages are under Safety, in the Compliance group.

Before you start

You need wwcc.view to read these pages and wwcc.edit to change a record or verify a check.

Record and verify a check

Open Safety > Tutor checks (WWCC) and choose the tutor.
Enter the WWCC number and expiry date and save. Saving never verifies it.
Check the number with your state's checking service.
Press Mark verified (or Verify and make current for a renewal). You cannot verify your own check.

A tutor counts as cleared to teach only when their working status is Active and their WWCC is verified and current on the lesson date. Changing the number or expiry clears the verification, so it has to be verified again.

What happens at booking

Your centre chooses whether a tutor who is not cleared can still be booked with a warning, or is refused. That is set under Training > Training settings. Every warning is written to the audit log. A home lesson always needs a current, verified check, whatever the setting.

Watch expiry dates

Safety > WWCC calendar lists WWCC, child safety training, first aid and privacy training expiries. Renewal reminders go out automatically 30, 14 and 3 days before a check expires.

Tutors booked in Teachworks

Lessons booked in Teachworks do not pass through the portal's booking check. Safety > Teachworks lessons check lists every tutor with a Teachworks lesson in the next 14 days who would not pass it on that date, or who is not linked to a sign-in in the portal. It is empty until Teachworks is connected and has synced.
