Tutoring families, approvals and invite codes
Approve families who say they take tutoring with your centre, and make single-use invite codes that verify a family when they sign up.
Updated 18 October 2026
Why this exists
Families who already take tutoring with you should get your centre's included plan without paying again, but someone has to confirm who they are. This page lets you approve those families quickly, or hand out invite codes so they are verified the moment they sign up.
A tutoring family gets your centre's included plan in the parent and student apps. People > Tutoring families is one page with two tabs: Approvals and Invite codes.
Before you start
You need the admin.view permission. Both tabs show your own centre's families only.
Approve a family
When a parent signs up and says they already take tutoring with you, they wait on the Approvals tab.
- Open People > Tutoring families.
- Each request shows the parent's email, campus, the tutor they named, the current term and their children.
- Check the family against your records.
- Press Approve to record them as a verified tutoring family, or Reject. A rejection needs a note (for example "no record found"), and the family stays as they are.
Make invite codes
An invite code verifies a family the moment they sign up, so they skip the approval queue.
- Open the Invite codes tab.
- Under Mint new codes, choose a Campus, a Quantity (up to 200) and Expires in (days) (30 by default, up to 365).
- Press Mint. Give each family one code.
- Search by code, or filter by status and campus. On a code you can Resend (extend 30 days) or Revoke it.
A code names one of your campuses, so add a campus under Settings > Campuses first.
Good to know
- Each code works once.
- Families your centre brings in by import, Quick enrol or the invite form are tutoring families already and do not need approving.
- Old links to the separate approvals and invites pages open this page.
