End-of-term reports for parents
How the end-of-term report is drafted, edited by the tutor, approved and sent to parents, and the settings an admin chooses.
Updated 18 October 2026
Why this exists
Writing an end-of-term report for every student takes tutors hours, and parents often get little more than a line. Term reports start from the student's own record, attendance, homework, levels and results, so the tutor checks and adds their own note rather than starting from nothing. Nothing reaches a family until a person approves it.
Three weeks before each term ends, every student your centre has taught gets an end-of-term report for their parents. It covers attendance, what was covered, homework, levels and results, how they do on their own, a note from the tutor and next term's focus.
Before you start
- Progress reviews must be switched on for your centre. Admins with settings.edit switch them on under Settings > Reviews and re-enrolment (with two-step sign-in).
- Tutors see their own students' reports. Admins see every report at their campuses.
Settings (admins)
On Settings > Reviews and re-enrolment, in the termly progress review card:
- Reviews are due a number of days before the term ends. Drafts are made from that day.
- Who sends the report to the family: the tutor finishes it and an admin approves it (the default), or the tutor sends it.
- Also email each parent when a report is released. Off by default; parents always get a notice in the portal.
- Offer a 10-minute call: parents see a button that asks the tutor and admins to arrange a time.
- Term dates: NSW public school terms are used until you add your own.
Writing a report (tutors)
- Open Teaching > Progress reviews and choose the student.
- Press Draft with AI. The draft uses only the record shown below it, and names are never sent to the model.
- Read What we covered, Where they started and where they are now and What is next, and change anything that is not right.
- Add your own note to the family if you like. The AI never writes this part.
- Press Mark ready for an admin, or, if your centre lets tutors send, Approve and send to the family.
Editing a report that is ready sends it back to draft, so an admin never approves words that changed afterwards.
Approving (admins)
Teaching > Progress reviews shows each term's reports as Draft, Ready and Sent, with ready ones first. Open one, read it and press Approve and send to the family.
Good to know
- The attendance and homework figures parents see are counted from your records, not written by the AI.
- A missed lesson is a no-show or one the family cancelled. Lessons the centre cancelled are never counted against the student.
- Nothing reaches a family until a person approves it.
