The owner's scorecard

The figures an owner watches in one place: families, revenue, attendance, seat use, enquiries and costs, each against last month.

Why this exists

The figures that show how a centre is going are usually spread across reports and spreadsheets. The scorecard puts them on one page, compared fairly with last month, with a trend and how each one is worked out. Owners and admins can see at a glance what is going well and what needs attention.

The scorecard puts the centre's key figures on one page, under Reports > Scorecard (there is also a tile on the centre overview).

Before you start

You need reports.view or the finance role. Tutors never see it, even if their role holds reports.view. An admin limited to some campuses sees figures for their campuses only, and the whole-centre tiles are hidden with a line saying why.

What each tile shows

Each tile shows this month so far against last month at the same day of the month, so a part month is never compared with a whole one. Open a tile for a twelve-month trend (a small chart and a table), a line on how it is worked out, and a link to its detail report.

The tiles cover:

  • active families, new families, families lost and retention over 12 months;
  • revenue, revenue per family per month and lifetime value per family;
  • lessons per family per week and attendance;
  • seat utilisation (booked student hours out of open hours times seats);
  • enquiry to enrolment;
  • cost per new family, tutor pay as a share of revenue, cash collected against invoiced, and money owed.

Making the figures work

  • Seat utilisation needs opening hours and room capacities. Campuses without them are left out and named.
  • Cost per new family needs your marketing spend. Press Marketing spend and type each month's spend by channel. That needs settings.edit or the finance role and two-step sign-in. If the spend page says it is not switched on yet, the tile asks you to add spend.
  • Money tiles read the portal's own invoices and payments. While your centre still bills families in another system, they say when they start rather than showing zero.
  • Retention and lifetime value need enough history. Until then they say so.

Good to know

  • A family counts as active while their latest lesson is under 56 open days ago. Centre-wide closure days, such as a long holiday, do not count against them.
  • A figure that cannot be read just now says so. It is never shown as zero.
