Moving a lesson on the calendar

Drag a lesson to a new time, length or tutor, check what the change does, then save or undo it.

Updated 18 October 2026

Why this exists

Moving a lesson often has knock-on effects on pay, charges, rooms and other bookings that only show up later. On the centre calendar you drag a lesson, and a card shows exactly what the change does before anything saves. Front desk and admin staff can move lessons quickly, undo a mistake, and choose whether the family is emailed.

On the centre calendar you can move a lesson to a new time or day, change its length, or give it to another tutor. Nothing saves when you drop it: a card shows what the change does first.

Before you start

You need permission to edit lessons. Open Scheduling > Calendar. Times are always on your centre's clock.

Steps

  1. Drag the lesson to a new time or day. To change the length, drag its bottom edge. In day view you can drop it on another tutor. On a touch screen, press and hold first.
  2. Or open the lesson and press Change time or tutor to do the same without dragging.
  3. Read the card. It shows the new time and length, the tutor's pay, the family charge, any clashes, and whether the family is told.
  4. If you change the tutor, choose Cover this lesson (the tutor keeps the student and the covering tutor is paid for this one) or Change tutor (the new tutor takes the lesson over).
  5. For a lesson in a series, choose Just this lesson or This and later lessons.
  6. To tell the family about a new time, tick Email the family about the new time.
  7. Press Save. Undo appears for a few seconds if you change your mind.

Good to know

  • The family is not told unless you tick the email box. The email waits until Undo has gone, and is sent only if the lesson is still at its new time.
  • Clashes with the tutor's other lessons, the room, closures and leave are shown on the card. Some can be saved anyway; a hard refusal cannot.
  • A new tutor or day is checked against your centre's compliance rules.
  • If your centre's lessons are managed in Teachworks for now, the calendar shows no drag handles and empty slots do not book.
