The waitlist

Keep families waiting for a full time, and offer a freed time to the family who has waited longest and suits it.

Updated 18 October 2026

Why this exists

When a good time frees up, finding the family who wanted it usually means scrolling old notes or memory, and the fair order is lost. The waitlist keeps families in the order they joined, shows who a freed time suits, and offers it with one tap. Families are treated fairly and times are filled quickly.

Families can wait for a subject, days and times, at a campus or online. When a time frees up, you see who it suits in the order they joined and offer it with one tap. The first to accept gets it. Nothing is booked automatically.

Before you start

  • An admin with settings.edit switches the waitlist on under Settings > Reviews and re-enrolment (two-step sign-in). It is off until then.
  • The page is People > Waitlist, for admins, super admins and anyone with lessons.edit.
  • Under Settings > Reviews and re-enrolment you also set An offer stays open for (hours). After that it expires and the family goes back to waiting.

Add a family

Families can join from their own portal. You can also add one: choose a student or an enquiry, then Add to the waitlist.

Offer a freed time

  1. A time a family did not keep for next term is added for you. For anything else (a series that ended, a tutor's new hours), use Add a free time: where (at a campus, online or at home), the tutor or Any tutor, and why.
  2. Press See who it suits. Families are listed in the order they joined.
  3. Offer the time. The family is told by email and in the app.
  4. When they accept, the card reads Accepted: book their lessons. Book the lessons yourself.

Good to know

  • An offer for a time that has closed cannot be accepted.
  • Families can take themselves off the list at any time.
