Tutor retention
See how many of each tutor's students stayed, moved to another tutor or left the centre, with quiet flags worth a look.

Why this exists
When students leave, it is hard to tell whether it is a pattern or chance, and guessing can be unfair to tutors. The tutor retention report shows what happened to each tutor's students, counted fairly, with quiet flags when something may need a look. It is for the owner and admins only, never tutors.
The tutor retention report shows, for each tutor, what happened to the students they taught: still with the tutor, moved to another tutor, or left the centre. It is for the owner and admins, never for tutors.
Before you start
You need an owner or admin role and the reports.view permission. An admin limited to some campuses sees tutors at those campuses.
Read the report
- Open Reports > Tutor retention.
- Choose the period: This term, Last 6 months or Last 12 months.
- Each tutor's row shows how many students they taught and how many stayed, moved or left. Open a tutor to see each student and what happened to them.
How it is counted
- Only attended lessons count. Cancelled and no-show lessons do not.
- A tutor who covered a lesson is credited with teaching it, but the student stays the booked tutor's. A student a tutor only covered is left out of that tutor's figures.
- School holidays and closure days are not gaps. A student has left the centre only after a gap longer than a normal break (six weeks by default).
- A rate is shown only for a tutor who taught at least eight students. Fewer reads "too few to compare".
Quiet flags
The report raises a flag, never shown to the tutor, when two or more of a tutor's students leave or move within 30 days of each other, or when a 1 or 2 star lesson rating arrives with a comment. A flag names no student. Write a note on it and press Save note to mark it looked into.
Good to know
The page lists what the figures could not cover, such as dates outside the term dates the report knows.
