The setup checklist

The five stages that get a new centre ready to open, what each step needs and which steps you can leave for later.

Updated 18 October 2026

Why this exists

Opening a centre in new software can feel like a long list with no clear end, and it is easy to open with something important missing. The setup checklist walks you through five stages and checks each step against what is really in the portal. You know exactly what is done, what is left and what skipping a step will cost.

The setup checklist walks a centre from an empty account to open. Every step is checked against what is really in the portal, so a step shows Done only once the work is actually there.

Before you start

You need the settings.edit permission to open Settings > Setup checklist. Some steps send you to screens that need another permission. The step says who to ask if you cannot open it.

The five stages

  1. Your centre: centre details (name, legal name, ABN, registered address, time zone, support and safety emails), branding, at least one active campus, and opening hours (optional).
  2. What you teach and charge: services and prices (or one default lesson rate), your billing and cancellation terms, closure days, home tutoring if you teach at families' homes, and your enrolment agreement (recommended: the terms each family accepts in the portal).
  3. Connect and bring your data across: email, online payments, other connections such as Teachworks, importing your families, and, if you use Teachworks, Running beside Teachworks (done when lessons are read only from Teachworks or you have set a date to start charging families in the portal).
  4. Your people: an admin who can sign in, your tutors with pay rates, and two-step sign-in for all staff (recommended).
  5. Open: a summary of everything you left out and what it costs, then the button to open.

Step levels

  • Needed steps must be done before you can open. They cannot be skipped.
  • Recommended steps say what goes wrong without them. You can press Skip for now.
  • Optional steps can wait until after you open.

Opening

  1. Work down the stages until Required steps done shows.
  2. In Open, read the list of steps you are opening without.
  3. Tick that you accept the centre agreement if it is shown, then press the button to open.

A centre that is already open sees Mark setup complete instead. That records the checklist as finished and changes nothing else.

Once you are open, Open also lists a few features centres often turn on next, linked to Settings > Features.

Good to know

  • The billing step only counts terms someone at your centre saved. Starting defaults do not count.
  • Pay rates matter: a tutor with no pay rate is paid nothing by payroll.
  • Opening cannot be undone from this screen.
