Making promo codes
Create codes for a free trial lesson or money off lessons or a pack, and see how each code is used.

Why this exists
Offering a free trial or an opening discount by hand means staff remembering who was promised what, and adjusting invoices later. A promo code holds the offer with its limits and dates, and credits the family on their account once the lesson is charged. Families get exactly what was offered, and you can see how each code is used.
Promo codes give new or existing families a free trial lesson, or money off their first lessons or a pack. They are off until your centre switches them on.
Before you start
The page is Finance > Promo codes. Switching codes on or off needs settings.edit; making codes needs billing.edit or settings.edit. Both need two-step sign-in. If the page says not switched on yet, ask your centre's admin.
Make a code
- Open Finance > Promo codes and switch codes on.
- Add a code (letters, digits and dashes; capitals do not matter).
- Pick what it gives: a free trial lesson, a percentage or fixed amount off the first lessons, or a percentage or fixed amount off a pack.
- Set the first and last day, the most uses in total and per family, whether it is for new families only, and which services or pack names it covers.
- Save. You can switch a code off or on later.
How families use a code
- On your public enrolment form, a Promo code field appears while codes are on. Pack codes cannot be used there. A code that cannot be used always gets the same answer: "That code can't be used."
- Staff can enter a code when converting an enquiry, choose Apply a code on a family's page, or enter one on the pack sale form.
How the money works
- A lesson code never changes a lesson's charge. Once the lesson is charged, a credit goes on the family's ledger and appears on their next invoice. If the charge is withdrawn, the credit is too.
- A pack code lowers the pack's price at the sale.
- A sibling discount is taken first, then the code, and the credit is never more than the charge.
- While your centre is holding family charging until a date, credits wait until charging starts.
- Lesson codes suit centres that invoice. Centres on packs or a prepaid account should use a pack code.
See how codes are used
Each code shows its uses, families, dollars credited and still to credit, with recent uses you can void.
