Changing many pay rates and automatic rises

Raise many tutors' base rates at once, or set milestones that raise a tutor's rate on a birthday, after a number of lessons or after months with your centre.

Updated 18 October 2026

Why this exists

Giving a whole team a pay rise, or remembering each tutor's anniversary, means changing rates one by one and hoping none is missed. Bulk update raises many tutors at once from a date, and milestones suggest or add rises when a tutor reaches one. Tutors are paid what they were promised, and past pay runs are never touched.

Two tabs on Finance > Pay rates save you changing rates one by one. Both change a tutor's base rate only, always as a new rate from a date, so old rates and premiums are untouched.

Before you start

You need payroll.edit and two-step sign-in. A campus-restricted admin works only on tutors at their campuses and cannot change the centre-wide setting or rules.

Bulk update

  1. Open Finance > Pay rates and the Bulk update tab.
  2. Filter by campus, current rate or name, and tick the tutors (or select all shown).
  3. Choose how to change: a new base rate per hour, a dollar amount per hour more, or a percentage more.
  4. Pick the date it starts.
  5. Choose Preview changes and check every line, then confirm.

If anything changed since the preview, you are asked to preview again. A tutor who already has a base rate starting that day is shown as a clash or no change, never given a second rate.

Milestones

  1. Open the Milestones tab and choose the setting: Off, Suggest or Automatic.
  2. Add a rule: Turning an age, Lessons taught or Months since starting.
  3. Choose the effect: raise the base rate by an amount, or the base rate becomes a set figure.
  4. Give the rule a start date and choose Save rule.

Each rule applies once per tutor, never before its own start date. Lessons taught counts completed lessons the tutor delivered, covering included.

Due for a rise

With Suggest, rises wait on the Due for a rise tab for you to Approve or Dismiss. With Automatic, a daily check adds them for you, and admins get a notice in the app. You can Undo a rise: its rate ends and the rate before it applies again.

Good to know

  • Milestones need a tutor's date of birth or start date for the age and months rules.
  • If the Milestones tab says it is not switched on yet, ask your centre's admin. Bulk update works without it.
