Loyalty bonuses for tutors
Pay a one-off bonus when a tutor reaches a milestone, such as a year with your centre or 500 lessons taught.
Updated 18 October 2026
Why this exists
Rewarding tutors who stay depends on someone remembering anniversaries and counting lessons, so good tutors can go unrecognised. As the centre owner or admin, you set milestones once, and the app tells you when a tutor reaches one. Every bonus waits for your approval and then goes into the pay run, so tutors are thanked reliably.
A loyalty bonus is a flat amount paid once when a tutor reaches a milestone you set. Every bonus waits for an admin to approve it. Bonuses are off until your centre switches them on.
Before you start
You need payroll.edit and two-step sign-in. The settings are on Finance > Pay rates. If the Loyalty bonuses section says not switched on yet, ask your centre's admin.
Set up bonuses
- Open Finance > Pay rates and the Milestones tab.
- Under Loyalty bonuses, switch bonuses on.
- Choose whether tutors see the amount on their home page.
- Add a rule. Choose what it waits for:
- Time with the centre (months),
- Lessons taught,
- Students kept (a number of students each taught for a number of months), or
- Family ratings (a run of top lesson ratings in a row).
- Enter the amount and a start date, and save.
Approve a bonus
When a tutor reaches a milestone, it appears under Loyalty bonuses due on the Due for a rise tab. Approve it, or Dismiss it with a reason.
Good to know
- Each rule pays a tutor once. The amount is fixed when the milestone is reached, so editing a rule later never changes it.
- An approved bonus is added to the first pay run whose end date is on or after the approval date, as its own line. A run made before approval does not include it.
- An approved bonus is still paid if you later switch bonuses off.
- Tutors see their next milestone on their home page ("38 to go"), and the amount only if you ticked it. Your centre's celebrations need to be on for this to show.
- A campus-restricted admin approves and dismisses only for tutors at their campuses, and cannot change the rules.
