Setting pay rates
Give each tutor a base hourly rate, add subject or year level premiums, and change rates from a date.
Updated 18 October 2026
Why this exists
Paying tutors fairly gets complicated when some subjects or year levels pay more. Pay rates hold each person's base rate and any premiums, and the pay run picks the right one for every lesson. You set them once instead of working out each lesson's pay by hand.
A pay rate is what a person is paid per hour for teaching. The pay run uses the most specific rate that matches each lesson.
Before you start
You need the payroll.edit permission. The page is Finance > Pay rates.
Add a rate
- Open Pay rates on the Rates tab.
- Pick the tutor.
- Enter the Rate per hour (AUD) and Effective from date. Effective to is optional.
- Optionally limit it to a subject or a year level to make it a premium.
- Choose Add rate.
How rates are chosen
- Every tutor needs a base rate. Payroll cannot pay lessons that have no rate.
- A subject premium matches the lesson's subject. A year level premium matches the main student's year.
- When a subject premium and a year level premium both match, the higher rate is paid.
- A newer rate for exactly the same things replaces the older one from its date.
- A rate shows "Never applies" when nothing could ever match it.
Good to know
- Any staff member can hold a pay rate. Giving an owner or admin a rate lets them be booked on lessons, without making them a tutor.
- Change a rate by adding a new one from a date. Old rates stay as history, so past pay runs are never repriced.
- A campus-restricted admin sees and changes only tutors at their campuses.
