Last-minute openings

Find your tutors' open times in the coming days and offer them to suitable families, who can book with one tap.

Updated 18 October 2026

Why this exists

A gap in a tutor's week usually goes unfilled because there is no quick way to tell the families who would want it. Admin and front desk staff can see open times in the coming days and offer them to suitable families, who book with one tap. Tutors fill their gaps and families get a lesson time that suits them.

When a tutor has a gap in the next few days, you can offer it to families who would want it. The first family to book gets it.

Before you start

  • You need lessons.create or families.edit. You see tutors at your own campuses.
  • It is off until your centre switches it on. If the page says "not switched on yet", ask your centre's admin.
  • While lessons are managed in Teachworks, offers cannot be sent.

Send offers

  1. Open Scheduling > Last-minute openings.
  2. The page lists each tutor's open times for the next few days, at the tutor's campus or in the online classroom. Home lessons are never offered.
  3. Tick the times you want to offer.
  4. For each time, the app suggests up to five families: the tutor's own students first, then students of a matching year level and subject. Untick anyone you do not want to ask.
  5. Choose how to tell families: email, text message or app notice.
  6. Read Exactly who gets what, then press Send these offers.

What families see

The parent gets a link to a page saying A lesson time has opened up, with the time, tutor's first name, service, price and your cancellation terms. They confirm the terms and book. If another family booked first, they are told the time has just been taken. All the usual checks run before the lesson is booked.

Settings and report

  • Short-notice discount: a percentage off (0 is off) for a lesson booked within a set number of hours of the start. It never applies while your centre has not started charging families through the portal.
  • Lesson length for open times and Days to look ahead.
  • The report shows each send, with how many families were offered, opened the link and booked, and the revenue booked.

Good to know

  • Offers are marketing messages: anyone who opted out is skipped, texts carry a STOP line, and only parents are contacted.
  • A family gets at most two offers a week.
