Inviting staff
Add a tutor, admin or other staff member to your centre and email them a link to set their password.
Updated 18 October 2026
Why this exists
Waiting for someone outside your centre to set up each new tutor slows down hiring, and a shared password is a safety risk. As an admin, you add your own people with the right role and campus, and they get an email to set their own password. New staff can sign in on their first day.
Your centre adds its own people. An invitation creates the account in your centre and emails a link to set a password.
Before you start
- You need users.edit.
- Your centre's email must be working. If it is not, the screen says to connect email in Integrations first.
Invite someone
- Open People > Logins and roles (Users) and press Invite staff.
- Enter their name and email.
- Choose a role: Tutor, Admin (runs the centre), Receptionist, Finance, Marketing or Compliance.
- Choose a campus, or leave it as Whole centre. A campus-restricted admin must pick one of their own campuses.
- If your centre uses training templates, tick any they should start with.
- Press Send invitation.
The link works once and expires within an hour. If it has expired, they can use "Forgot password" on your sign-in page.
Good to know
- If the email already has an account anywhere, nothing new is made. The screen answers as if sent, and that address is emailed to say they already have an account.
- A student's sign-in name cannot be used for a staff account.
- Invitations are limited each hour per person and each day per centre.
- To send sign-in invitations to people who already have an account (for example after an import), tick them in the list and press Send sign-in invitation. You see a preview and can send yourself a test first.
- If someone should not have access any more, switch their sign-in off from their user page.
