Switching a staff sign-in off

Stop a staff member signing in, for example when they leave, without deleting anything, and switch them back on later.

Updated 18 October 2026

Why this exists

When someone leaves your centre, their access should end that day without losing their records or history. Switching their sign-in off stops them getting in straight away, keeps everything they did, and can be undone if they come back. It also protects you from locking the centre out by mistake.

When someone leaves your centre, or must not use the portal for a while, switch their sign-in off. Nothing of theirs is deleted, and you can switch it back on.

Before you start

  • You need users.edit and two-step sign-in.
  • It works for staff logins only, at your own centre.
  • You cannot switch yourself off.
  • Only an owner can switch an owner off or on.
  • An admin limited to some campuses can only switch off people at those campuses.
  • The centre's last working admin, and its last working owner, cannot be switched off. Make someone else an admin or owner first.

Switch someone off

  1. Go to People > Logins and roles and open the person.
  2. Under Sign-in, press Switch off and confirm.

They cannot sign in again, and any page they have open stops working within the hour. If they were teaching an online lesson, they are taken out of the classroom.

Switch someone back on

Open the person and press Switch back on. They sign in with their usual password.

Good to know

  • Every change is recorded in the audit log.
  • If the switch reports a problem, press Switch off again to retry.
  • A child's account is closed from the family's page, not here.
