Letting families keep their own home details
Let families add their address, access notes and photos, send day-before reminders, and give them a first-visit checklist.
Updated 18 October 2026
Why this exists
Chasing families for a new address or gate code by phone takes front desk time, and the notes go stale. When your centre switches these on, families keep their own address, access notes and photos up to date, and get a reminder the evening before. You are told when something changes, so the address book stays right without the calls.
Families can look after their own home details, so your address book stays right. These are off until your centre switches them on. If you do not see them, they are not switched on for your centre yet.
Switch them on
Open Settings > Home tutoring and find What families can do. You need settings.edit and two-step sign-in.
- Families keep their own address and access notes. On Home lessons in the parent portal, a family adds or corrects its address, writes who will be home, how to get in, parking, pets and allergies, and adds a photo of the front door or where to park.
- Remind families the day before a home lesson. One text, or an email where there is no mobile, to each parent and second contact the evening before: the tutor's first name and the time, never the address. People who asked to stop hearing from you are skipped.
- First-visit list for families. One item a line, up to 12 (for example, a quiet table to work at, an adult at home, pets put away). Families tick it off.
What you see
- "Changed by the family" on the address book, and a banner on the family's page with I have checked them. You are told what kind of thing changed, not the notes themselves.
- Staff see only that a photo exists. A tutor sees photos and notes only inside the address window, like the street.
For tutors
- On my way goes to every parent and second contact, by text where your centre has SMS, otherwise email.
- I'm running late (5, 10 or 15 minutes, before check-in) tells the same people.
