The address book and who sees an address
Add a family's visit address and home notes, and understand exactly who can see them and when.
Updated 18 October 2026
Why this exists
A tutor arriving at the wrong house, or without the gate code, is a bad start to a home lesson, but families' addresses also need to be kept private. The address book holds each family's address and home notes in one place. Tutors see the street and the notes only for their own home lesson, inside the window your centre set, and everyone else sees nothing.
The address book holds where each family's home lessons happen, and the notes a tutor needs to get in.
Before you start
You need families.edit (or lessons.create to see addresses when booking). Open Scheduling > Address book. A campus-restricted admin sees only families at their campuses.
Add an address
- Choose Find a family by name and open the family.
- Choose New address. Start typing and pick the address, or choose Enter it yourself.
- If an address typed by hand cannot be confirmed, you are shown a suggested version to use, or keep what you typed.
- Mark it a home or a public place (for example, a library), and whether it is the family's default.
- Save address.
A family can have one address for a second household, kept for one child.
Home notes
Add who will be home, getting in, the gate code, parking, pets, allergies and anything else. They are kept apart from the address.
Who sees an address
- Staff who book lessons or look after families see every family's addresses and home notes.
- A tutor sees the street and the notes only for a home lesson they are delivering (or covering), from the window your centre set until the lesson ends. Before that, the suburb only.
- Nobody else sees them.
The home visits map
Scheduling > Home visits map shows your families' homes and your tutors on one map, with the family name and suburb on each pin, held to your campuses. Tutors are shown at their home campus. It needs families.edit or lessons.create, and a Google Maps connection under Settings > Integrations; without one, the page lists them instead. Home notes never appear on a map.
Good to know
- Gate codes and home notes never go in an email, a text message or the AI assistant, and are never written to logs.
- An address is archived, never deleted.
- A calendar invite for a home lesson says "At home" and nothing more.
