Weekly group classes
Run a timetabled weekly class with a roster, a seat limit, term dates and a waitlist.
Updated 18 October 2026
Why this exists
Running the same weekly class for a term by booking each week by hand is slow, and it is easy to overfill a room. A group class keeps one roster and makes every week for you, with a waitlist and seats that always block. Admin staff set it up once, and the roll, charges, cancellations and pay work week by week as for any lesson.
A group class is a weekly class with a roster that repeats, for example eight students every Tuesday for a term. Each week becomes an ordinary lesson, so the roll, charges, cancellations, seating and pay all work as they do for any group lesson.
Before you start
You need permission to edit lessons. If you do not see Scheduling > Group classes, or the page says it is not switched on, group classes are not on for your centre yet.
Steps
- Open Scheduling > Group classes and press New class.
- Give it a name, a service (which prices it), a lead tutor, a campus, a room or the online classroom, the day and time, the number of seats, the term dates and a year range.
- Save it as a draft. A draft makes no lessons and cannot take children.
- Press Publish and make the weeks when the details are right.
- Add children under Roster with Add a child, from a start date.
- To let parents join from their portal, switch on Open for parents.
Running the class
- Take off from a date removes a child from that week on. Weeks already taught never change.
- When the class is full, families can join the Waitlist. Use Move up to change the order, and Offer free seats now to offer a seat. An offer is held for 48 hours, then passes to the next family.
- Weeks and attendance shows every week of the term.
- Update the weeks brings future weeks in line after a change, such as a new closure day. A week that clashes or fails a compliance check is skipped and named.
Good to know
- Seats always block, for staff and parents alike.
- Enrolling charges nothing. Each week is charged by your centre's billing as it is taught.
- The year range limits what parents see. Staff can place anyone.
- Nothing can change while your centre's lessons are managed in Teachworks.
