The tasks board

Share follow-ups with the office: give a task to a person or a role, set a due date, link it to a family and comment on it.

Why this exists

Office follow-ups passed on by sticky note or word of mouth get lost, especially between shifts. The tasks board is a shared list where a task can be given to someone, linked to a family, discussed and moved to done. Everyone in the office can see what is waiting and who has it.

The tasks board is a shared list of follow-ups for the office team. Unlike your own reminders and to-do lists, a task can be given to someone else, linked to a family and discussed.

Before you start

The board is for office roles (admins, reception, finance, marketing and compliance). Tutors and teachers do not use it. If you do not see Home > Tasks, the board is not switched on for your centre yet.

Steps

  1. Open Home > Tasks.
  2. Press add and type a title. Add notes if you need them.
  3. Give it to a person, to everyone in a role, or to nobody yet.
  4. Set a due date (on your centre's calendar).
  5. Link it to a family, student, lesson, enquiry or invoice if it is about one.
  6. Save. The person, or everyone in the role, gets a notice in the app.
  7. Move it along with Start and Mark done, or drag it between the columns.

Views

Switch between the board and a list, and between Mine, My role's, Overdue, By due date, All open and Done.

Good to know

  • Comments notify the person the task is given to.
  • A family's page shows its Open tasks, with a quick add.
  • Admins also see family follow-ups from retention watch here, which open in retention watch.
  • Done tasks drop off the board after 30 days.
  • Only the person who made a task, or an admin, can delete it. Deleting is for mistakes.
  • Admins limited to some campuses see centre-wide tasks, tasks for their campuses and anything given to them.
  • Your own mail follow-ups, reminders and to-do lists stay private, on the Today page.
