Tags and groups

Make your own labels for families and students, filter lists by them, save groups, and use them to choose who a Broadcast reaches.

Updated 18 October 2026

Why this exists

Staff often need to pick out a set of families, such as this year's HSC students or families to follow up, and keep lists in spreadsheets that go out of date. Tags are your centre's own labels on families and students, for filtering, messaging and exports. They are for staff only and never reach parents, students or an AI model.

Tags are your centre's own labels, such as "HSC 2027" or "Needs follow-up". Tags are for staff only: parents and students never see them, and they are never put in an email or sent to an AI model.

Before you start

  • An admin with settings.edit opens Settings > Tags and groups, presses Switch tags on and confirms with two-step sign-in. Tags are off until then.
  • Putting tags on families and students needs families.edit, and is held to your campuses.
  • If the page says "Tags are not switched on yet", a database update is still to come for your centre.

Make your tags

  1. Open Settings > Tags and groups.
  2. Under Add a tag, type a name and pick a colour, then press Add tag.
  3. Rename or recolour a tag and press Save. Archive hides a tag everywhere you choose tags and keeps it on its records. Restore brings it back.

Save a group

A group is a saved list of 1 to 10 tags. Choose Has any of these tags or Has all of these tags, name it (for example "Scholarship year 6") and press Save group.

Tag families and students

  • On a family page, use the Tags card for the family, or the card under each child.
  • On the Families list or the Students list, tick rows and use Add or Remove tags in the bar. Up to 200 records at a time.

Use them

  • Filter the Families list and Students list by tag chips or a saved group.
  • Broadcast: choose tags or a group for parents or students. A tag selection that reaches nobody sends to nobody. Tags cannot be used for a tutor audience.
  • Export: the family export follows your tag filter and adds a tags column.

How a tag reaches people

A family's tags count for its children too, and a child's tags count for their parents. So "Scholarship" on one child reaches that child and their parents, but not a brother or sister. "HSC 2027" on a family reaches its parents and all its students.

Good to know

Switching tags off hides them and keeps everything saved.
