The school exam calendar

Why this exists

School assessment dates arrive as scattered notices, and finding out about a big week too late means students miss the help they needed. The school exam calendar turns the notices families attach into one calendar of your students' assessments. You can plan revision sessions and staffing for the busy weeks ahead of time.

Families attach their school's exam notices when they add an exam. The school exam calendar turns those notices into one calendar of your students' school assessment dates. It is for planning revision sessions and staffing, and it is never shared outside your centre.

Before you start

It is off until an admin switches School exam calendar on under Settings > Features. Then it appears as Scheduling > School exam calendar. If you do not see it, it is not switched on for your centre yet. Ask your centre's admin.

Who sees what

• Staff who can see the timetable see the calendar and the crunch weeks: dates and counts only.
• Staff with See school exam notices (admins and the owner to start with; the owner, or an admin who manages staff, can give it to other roles in Settings > Roles and permissions) also see the notices themselves, read them and confirm the dates. Each time a notice is opened, the centre's audit log records who opened which file.
• Tutors see their own students' notices on each lesson, under Coming up.

Read a notice

1. Open Scheduling > School exam calendar.
2. Under Notices to read, press Read this notice. Photos and PDFs can be read; type the dates of any other file in yourself.
3. Check what was found. Change anything wrong, remove what does not belong and press Add a date for anything missed.
4. Press Confirm and add to the calendar, or Reject. Nothing is on the calendar until you confirm.

Reading sends the picture of the notice to the AI service. A notice may show a child's name, and a picture cannot have names taken out, so it is only ever sent when you press the button. The AI is told to take school and assessment facts only. AI must be connected under Settings > Integrations; if it is not, the page says Connect AI first.

Duplicate notices

Notices for the same school, year, subject and start date become one entry. The entry says how many notices back it up, and Open the notice opens each one.

Crunch weeks

The crunch weeks panel shows how many of your students sit school assessments each week, by school and year. Only students whose family attached a notice to the exam are counted, and each student counts once a week.

Good to know

• Filter by school, year, subject and campus. The campus is the family's own campus.
• Use List to see the next six months at once.
