Draft with AI and Summarise

Let AI draft a reply or summarise a long conversation. Names and contact details are replaced before anything is sent.

Why this exists

Replying to a long email thread or writing a careful reply to a parent can take a lot of time on a busy day. For staff, these two helpers draft a reply or summarise a conversation when you press the button. Names and contact details are replaced before anything is sent to the AI, and you always check and send the reply yourself.

Two AI helpers in the mailbox. Both are for staff only, and both work only when you press the button.

Before you start

Your centre needs the AI service connected under Settings > Integrations, either its own account or the platform's.

Draft a reply

  1. Open a conversation and press Reply.
  2. Press Draft with AI.
  3. Optionally say what it should say, for example "yes to Thursday, and ask about the excursion".
  4. Choose a tone: Warm, Brief or Formal.
  5. Press Write a draft. The draft lands in your reply.
  6. Read it carefully. Anything the AI was not told, such as a time or a fee, appears as a gap in square brackets. Fill those in before sending.

You check and send the draft yourself. Nothing is sent for you.

Summarise a conversation

  1. Open an email conversation.
  2. Press Summarise above the messages.
  3. You get a short summary under Asked, Agreed and Still open, and a note when a family is waiting on your reply.

The summary is labelled AI summary. Check it against the messages. It is not saved anywhere.

Privacy

  • Names and contact details are replaced with stand-ins, such as "Student A", before anything goes to the AI. Real names are put back only on your screen.
  • Quoted history from earlier emails is left out.
  • Summarise works on email conversations only, never on family support messages from the portal.
