Moving every student up a year

Once a year, move every student up a school year in one go, with a preview, students who are repeating left alone, and an undo.

Updated 18 October 2026

Why this exists

Moving every student up a year by hand at the start of the year is slow, and a missed student sees the wrong work for weeks. Year rollover moves the whole centre at once, after showing you exactly what will change, and can be undone if something was wrong.

At the start of a school year, every student's year level needs to go up by one. Year rollover does it for the whole centre at once, after showing you exactly what will change.

Before you start

  • You need families.edit and two-step sign-in.
  • Year rollover must be switched on for your centre. If the page says it is not switched on, ask your centre's admin to have it switched on.
  • An admin limited to some campuses can see the preview for their campuses but cannot confirm or undo. The rollover is centre-wide.

Preview first

  1. Go to People > Year rollover and press Preview the rollover.
  2. Every student is listed with their year now and their year after.
  3. Look at Needs a look: students with no year set, a year that cannot be read, Year 12s (finished school, never moved) and anyone already moved this school year.
  4. Tick Repeating for any student staying in the same year, then Refresh the preview.

Confirm

Press the button to move students up. What is written is exactly what the preview showed; if anything changed in between, you are asked to preview again. Kindergarten becomes Year 1.

Undo

If it was a mistake, press Undo this rollover under Past rollovers. You can undo once, within 30 days. A student whose year someone changed since is left alone.

Good to know

  • One rollover per school year. From 1 November, a rollover counts for the next year, so a December run is for the new year.
  • Admins get a reminder in the app in the first week of December and the last week of January if no rollover has been done.
  • The year level drives what students see, such as reading stages, typing and their daily goal.
  • Teachworks keeps its own year levels. Rollover does not change them there.
  • Students who have left are still listed. Mark their family as left instead.
