Split payers: when someone else pays
Let a grandparent, a second parent, an employer or a funding body pay all or part of a family's invoices.
Updated 18 October 2026
Why this exists
Some lessons are paid by someone other than the family: a grandparent, a separated parent, an employer or a funding body. Split payers raise a separate invoice for each payer's share, so nobody has to divide an invoice by hand or chase the wrong person. Each payer sees only what is theirs to pay.
A payer is someone other than the family who pays some or all of a family's lessons. The invoice run raises a separate invoice for each payer's share. A family with no payers is invoiced exactly as now.
Before you start
This must be switched on for your centre. An admin with settings.edit and two-step sign-in turns on Split payers on Settings > Billing and cancellations. If you do not see the card, it is not switched on for your centre yet.
To add payers you need billing.edit (and billing.view to see them).
Add a payer
- Open the family's page and go to Who pays.
- Add the payer's name and email. An ABN and a reference (such as a purchase order) are optional.
- Choose which children and services they cover (or all).
- Choose the split: a percentage, a fixed amount per lesson, or a fixed amount per invoice.
- Set a start date and, if needed, an end date. Save.
A warning shows if percentages for the same child and service add up to more than 100 per cent.
What happens at invoice time
- Each payer gets one draft invoice for their share, and the family gets one for what is left.
- Each split line says it is a share of the lesson.
- Credits stay with the family.
Good to know
- A payer's invoice is never charged to the family's saved payment method, and the family's Pay button does not appear on it.
- A payer with no sign-in is emailed the invoice once, when you send it, and asked to reply to arrange payment. A payer who is a family member with a sign-in sees it in their portal instead.
- A parent sees every family invoice except those billed to a payer. A family member who is a payer sees only their own.
- Overdue reminders are not sent for payer invoices. Your centre follows those up.
