Overdue invoices and failed payments

Where to find invoices past their due date and families whose bank debit failed.

Updated 18 October 2026

Why this exists

Unpaid invoices are uncomfortable to chase, and harder to chase when you are not sure which are really overdue. The portal works out which invoices are overdue on your centre's own calendar and, for failed bank debits, steps through reminders for you. You follow up the right families, at the right time, with less awkwardness.

An invoice is overdue when it still asks for money, after any credit notes, and its due date is before today on your centre's calendar.

Find overdue invoices

  1. Open Finance > Invoices and filter by status and date.
  2. The Centre overview (Home > Overview) lists overdue money in "Needs a decision" once your centre has started charging families.

Failed direct debits

For a centre that takes payments through Pinch, Finance > Failed payments lists families whose bank debit failed. You need the billing.edit permission. From there you can:

  • Run next step to send the next reminder now,
  • retry the payment, or
  • pause the reminders for a family.

A successful retry stops the reminders on its own.

Good to know

  • The family also sees "Your bank debit failed" on their billing page, with a way to update their bank account.
  • While your centre is holding family charging until a date, retries and reminders are not sent.
  • If your centre has switched on a late fee for overdue invoices, see the related article.
