Recording a manual adjustment

Add a one-off charge, a goodwill credit or a write-down to a family's account, with a reason the family sees.

Updated 18 October 2026

Why this exists

Not everything a family owes or is owed comes from a lesson: a one-off fee, a goodwill credit, a small amount to write off. A manual adjustment records it on the family's account with a reason they can read, under your name, so there is never a question later about why a figure changed.

Use a manual adjustment for anything the roll does not charge: a one-off fee, a goodwill credit for a missed lesson, or writing off a small amount.

Before you start

You need the billing.edit permission. Settling an open invoice with a credit also needs invoices.edit.

Steps

  1. Open Finance > Family balances and find the family.
  2. Choose to adjust that family.
  3. Enter the amount in dollars. A positive amount adds a charge. A negative amount (for example -25) records a credit or write-down.
  4. Write the reason. It is required, and the family sees it on their invoice.
  5. For a credit, choose where it goes:
    • Settle invoice to put it on one of the family's open invoices as a credit note, or
    • Take it off the family's next invoice.
  6. Choose Record adjustment.

Good to know

  • An adjustment goes on the ledger under your name and cannot be edited or removed. To undo one, record the opposite amount with a reason.
  • A credit bigger than the next invoice is split across invoices.
  • While your centre is holding family charging until a date, a positive adjustment is refused. Credits still work.
