Held late fees and makeups
A late cancellation fee waits for a set number of days and clears if the child attends a makeup in that time.

Why this exists
Charging a late fee straight away can feel harsh to a family who goes on to make up the lesson, and refunding it later is extra work for your team. When your centre holds late fees, the fee waits and clears by itself if the child attends a makeup in time. Families have a fair chance to avoid it, and your staff do not have to track it by hand.
If your centre holds late fees, a late cancellation does not charge the family straight away. The fee waits, and a makeup lesson the child actually attends clears it.
How it works
- A family cancels late. The fee is recorded as held, and nothing is charged yet.
- Each day the app checks every held fee:
- If the child attended a makeup inside the hold, the fee is waived.
- If the hold ends with no makeup attended, the fee is charged once.
- Booking a makeup is not enough. A no-show at the makeup, or cancelling it, means the fee is charged.
You set the number of days under Settings > Billing and cancellations, in Hold the late fee for (days). Zero charges the fee at once.
Makeups
- Scheduling > Makeup lessons lists makeups families are owed (you need lessons.edit).
- A makeup must be booked within your makeup window, if you set one.
- A rebooked lesson is the makeup: if it is taught inside the hold, the fee clears.
- Only staff putting a lesson back exactly as it was releases a held fee.
Good to know
- A cancelled lesson with a fee still on hold cannot be deleted.
- The tutor's late cancellation pay is added to the pay run only once the fee is actually charged, never while it is held or if it is waived.
- While your centre is holding family charging until a date, a held fee for a lesson before that date is waived.
