Online enrolment agreements
Write the terms and consents families sign when they enrol, see who has signed, and print a signed copy.

Why this exists
Paper enrolment forms get lost, and it is hard to show later which terms a family agreed to and when. As the centre owner or admin, you publish your agreement once and each parent reads and accepts it in the parent portal. You can see who has signed, and print a signed copy with the exact text they accepted.
Your centre can ask every family to read and accept its enrolment agreement in the parent portal. Parents read the exact text, tick each consent and type their full name. You see who has signed and can print a copy.
Before you start
- You need settings.edit, and publishing asks for two-step sign-in.
- The page is Settings > Enrolment agreement. If it says "not switched on yet", a database update is still to come for your centre.
- Have a lawyer read your agreement before you publish it. The starter consents are prompts, not legal wording.
Write and publish
- Open Settings > Enrolment agreement.
- Under Write your agreement, give it a title and write the terms. A short line ending in a colon becomes a heading. Leave a blank line between paragraphs.
- Under Consents the parent ticks, add up to 12 consents and mark each required or optional. The starter consents (photos, emergency treatment, leaving on their own, communications) can be edited or removed.
- Publish. Each publish is a new version, listed under Versions. A published version is never changed.
- Tick Ask families to accept the enrolment agreement to switch it on.
When you publish a later version, choose whether families who accepted an earlier one must accept again. If not, only new families see the new version.
What families see
A banner on the parent's home page asks them to read and accept it. They can read back everything they signed, word for word, at any time.
Check who has signed
- Each family's page shows its status, such as "Accepted (version 2)" or "Not accepted".
- Press View and print the signed copy to print exactly what they accepted, with the name typed and the time.
- The settings page shows how many families have accepted.
Good to know
- Nothing is emailed or texted to ask a family to sign. The banner is the only reminder.
- One parent's acceptance counts for the family.
- This is separate from the photo consent parents give on their recordings and photos page.
