My files and the Team library

Where to keep files, who can see each space, and how to share a file with a student.

Updated 18 October 2026

Why this exists

When everyone keeps worksheets and policies in their own folders, nobody can find the current version, and private files end up shared by accident. Files has two clearly marked spaces: My files, private to you, and the Team library, which every staff member can open. Each space says who can see it, so tutors and office staff always know where a file is and who has it.

Files has two spaces. Each one says who can see what is in it.

My files

Private to you. Your centre's admins can also open them. Nobody else sees them unless you share.

Team library

Every staff member at your centre can open these: tutors, reception, finance and admins. Only admins add or change them. Use it for worksheets, policies and templates everyone needs.

Upload a file

  1. Open Files and choose upload.
  2. Pick Where should this go: My files, or a Team library folder (admins only).
  3. Add a subject, year level or tags if you like, so it is easy to find.
  4. If the same file is already there, choose to skip it, replace it or keep both.

Share with a student

Tutors and admins can share a file with a student using Share with students, as Read only or Can edit. The student sees only that file, never your folders. You can take the share away later.

Good to know

  • Students never see My files, the Team library or any folder.
  • Parents cannot open files in Files, even one shared with their child.
  • Shared with me lists folders a colleague has shared with you.
